8 Essential Time Management Tips

Ever thought about delegating tasks so you can free up more time for other activities? I’ll touch on that later, but for now, let me offer you the following 8 time management tips.

“I know firsthand the struggle of juggling time. While I typically have lunch at my desk, my dog always encourages me to get out and about. However, this can sometimes make it feel like I’m ‘losing’ hours. Effective time management is essential for reaching my goals and boosting productivity. Here are some valuable tips to help you better organize your days:

  1. Set goals: Establish clear and achievable goals for yourself. Make sure to jot down your goals, whether it’s digitally using apps like Notion or Trello, or the traditional way with pen and paper.
  2. Prioritise tasks: Create a list of tasks you need to do and rank them based on their importance and urgency. A handy technique for this is the Eisenhower Matrix, where tasks are divided into four categories: urgent and important, important but not urgent, urgent but not important, and neither urgent nor important. By categorising your tasks in this way, you can effectively allocate your time to the most crucial tasks..
  3. Make a schedule: Plan your day or week in advance and allocate time for each of the tasks you need to accomplish. Also, factor in time for breaks and relaxation. Some prefer to do this on their phone calendar, others use a tool like Trello, and then there are those who still stick to paper agendas/planners. Remember, a task takes as long as you allocate for it. What I mean by this: if you estimate needing an hour for a task but schedule 1.5 hours, you’ll end up spending 1.5 hours on it. If you schedule the one hour task for 50 minutes, you’ll find you can get it done in 50 minutes.
  4. Avoid distractions: Limit distractions such as social media, emails, and phone calls. Try setting specific times to engage in these activities and avoid them during your work hours. Additionally, you can set up browser blockers or use an app like Forest, which grows trees to keep you focused. As I write this, I’m currently using the app.
  5. Utilise technology: Make use of tools such as calendars, timers, and reminders to assist you in managing your time and keeping track of your schedule
  6. Plan for unexpected events: Allocate extra time for unexpected occurrences or tasks that may take longer than anticipated.
  7. Ensure adequate rest: Make sure you get enough rest and incorporate breaks into your schedule. As mentioned earlier, schedule these breaks in advance. Additionally, there are apps that provide notifications on your laptop, reminding you to take, for example, a 10-minute break.
  8. Delegate tasks: Lastly! It’s important to recognise that you can’t do everything yourself. If you’re overwhelmed by a load of tasks, don’t hesitate to delegate tasks to others you trust. This may involve outsourcing certain tasks to a virtual assistant. By delegating tasks, you free up space to focus on tasks that are truly important and where you add the most value.

Hopefully, these time management tips will assist you in managing your time and consequently increasing your productivity! Personally, I’m well-versed in this area; I’ve read several books on the topic, including “Getting Things Done,” “The 4-Hour Workweek,” and “Eat That Frog.” However, there are plenty of tips available on the internet regarding this subject. Perhaps my most important tip is: you don’t have to do it all. Don’t dive into reading another 10 blogs on this topic, which might lead to further procrastination on certain tasks. Instead, try sticking to just 4 out of the 8 tips for now.
